Why should you care about tracking time?
If you’re like most people, you probably don’t track your time. Some people will tell you that it’s not important, but I strongly disagree. I will show you why in this Clockify Review and time tracking tutorial.
Where does your time go? If you’re like most people, you probably don’t know.
To be productive, you need to know how much time you spend on each task and where your day is going. Without this information, it’s impossible to make informed decisions about where to focus next or how long a project will take.
One of the best ways to do this is with time tracking software like Clockify.
Time Tracking as a Diagnostic Tool
I’ve been a time management coach for over 20 years. I work with people from all walks of life – from CEOs to college students and everyone in between.
I’ll admit that when I first started coaching, I was skeptical about the value of time tracking. Like most people, I thought tracking my time would be boring and tedious, but it turns out that it can be quite enlightening.
As a time management coach, I use time tracking as a diagnostic tool – similar to how a Doctor uses an EKG machine to check your heart. My time-tracking diagnostics help me “diagnose” issues clients have such as lack of focus, too many interruptions, prioritization issues, and a failure to delegate.
I ask my clients to track their time for a few weeks in Clockify and then we do a Clockify review of their reports to see where their time is really going.
Similarly, you can use time tracking as your own personal productivity diagnostic tool to give you insights into what is really derailing your productivity.
Are you spending enough time on all your roles?
We’re all guilty of spending too much time on one role and not enough time on another.
The problem is that it can be hard to tell if this is happening. You might think that you’re spending enough time on your core role, but what about the other important roles? You might focus on marketing and sales, but neglect coaching your team and getting them the feedback and training they need.
As an entrepreneur with no regular paycheck, it is critical that I spend a minimum of 25% of my time marketing to bring in additional clients and paid projects. If I neglect this, my income takes a sharp drop.
Tracking your time in Clockify gives you a way to ensure you spend dedicated time on each of your important roles so that key tasks don’t fall through the cracks.
We really suck at estimating
One thing that I have learned from my personal experience and from my client’s Clockify reviews is that we really suck at estimating how long a task will take.
Bad estimating results in lost revenue, higher costs, project delays, and unhappy managers and clients.
When you track your tasks in Clockify, you see EXACTLY how long the task takes. So every time you do a task, you are building a task time record library that will tell you how long that task took the last time.
So you can pull a “Scotty” [insert link] and underpromise and overdeliver on your tasks.
Automate, Automate, Automate!
Another thing I look for in Clockify tracking is to find those time-consuming tasks that could be automated. A lot of people who use time tracking software like Clockify don’t realize that there are tools out there that can automate much of their work.
Copying and pasting, report generation, social media posting, email management, and many other time-consuming tasks can be eliminated or greatly reduced with tools like text expanders [insert link], social media management software, macros, email filters, or connection tools like Zapier.
For example, when people join my Bizmentum free online business community, they are automatically added to the appropriate email list in my email marketing tool, MailerLite. No copying and pasting between programs and it is a “set and forget” system that just works every day for me.
Team Time Tracking
Tracking your own time is a great way to improve your personal productivity. But if you want to maximize the benefit, you can greatly expand it by having your whole team track their time on Clockify.
By tracking everyone’s time and logging it into the same platform, you can:
- See each team member’s productivity
- See where team members are getting stuck or may need more training
- Manage your team’s workload
- Track time, costs, and profitability of client or external projects
